Setting Up Your First Location

Getting started with VCom is simple. Once you've created your organization account, the next step is setting up your first location—whether that's your main office, a satellite clinic, or any workspace where your team needs to communicate efficiently.

Why Locations Matter

In VCom, locations represent physical spaces within your organization. Each location has its own set of recipients, messages, and installations. This structure allows multi-location practices to maintain separate communication channels while managing everything from one central account.

Step 1: Navigate to Location Setup

After signing in, you'll land on your organization dashboard. Click "Add Location" or navigate to the locations section. If this is your first time, you may be automatically prompted to create a location.

Step 2: Enter Location Details

You'll need to provide:

Location Name: Something recognizable like "Main Office" or "Downtown Clinic"

Address: The physical address helps you identify locations at a glance

Time Zone: Ensures messages and schedules display correctly for your staff

Step 3: Configure Your Recipients

Recipients are the heart of VCom. These are the staff members or roles that can receive messages:

Add individual team members (Dr. Smith, Sarah the hygienist, etc.)

Create role-based recipients (Front Desk, Dental Assistants)

Assign unique sounds to each recipient for instant audio recognition

Pro tip: Start with your most active team members and expand from there. You can always add more recipients later.

Step 4: Upload Custom Sounds (Optional)

One of VCom's signature features is custom sound alerts. Upload unique audio files for each recipient or role. When a message arrives, your team will instantly know who it's for—without looking at a screen.

Keep sounds short (1 to 1.5 seconds is ideal)

Use distinct tones that don't blend into background noise

Test volume levels in your actual workspace

Avoid sounds that resemble phone notifications or alarms

Step 5: Install the Desktop App

To receive real-time messages, your team needs the VCom desktop application.

Download the installer from your location's settings page.

Run the installation on computers at your location.

Enter your location's activation code when prompted.

The message banner will appear at the top of the screen, ready to display incoming messages.

Each installation will automatically appear in your location's management interface. Give it a recognizable name like "Room 1" or "Front Desk" so you can identify it later.

Step 6: Send Your First Message

Now comes the fun part. Create a test message:

Select a recipient.

Type your message.

Hit send.

Watch as the message appears on your installation with the custom sound alert. Your team can see it, acknowledge it, and get back to work—all without interrupting patient care.
